Running an association on borrowed tools

Most associations stitch together personal email, a shared drive, a spreadsheet, and a group chat.

Records with no home

Governing documents, minutes, and contracts are split across drives and inboxes that belong to individual volunteers.

Owner requests everywhere

Maintenance issues and architectural applications come in through every channel, and some never get answered.

Decisions without a trail

The board votes by email, and the result is hard to prove months later.

Announcements that don't reach everyone

Notices go out through a group chat some owners never joined.

Volunteer burnout

A few board members carry all the institutional knowledge — and the workload.

Starting over every election

New board members inherit a pile of passwords and a lot of guesswork.

FAQ

Community association software FAQ

Is CommunityVault for self-managed associations or management companies?
It is built primarily for volunteer boards, including self-managed HOAs and condo associations. Associations that work with a manager can still use it as the board's shared record of documents, requests, decisions, and meetings.
Does it replace our accounting or dues collection?
No. CommunityVault does not process dues payments, collect assessments, or handle accounting. It covers governance and communication — documents, requests, approvals, meetings, tasks, vendors, and announcements — alongside whatever you use for finances.
Does it work for condo associations?
Yes. Choose the condo organization type and the workspace uses labels like Owners & Residents, Board Decisions, and Maintenance Requests.
How do owners and residents get access?
The board invites them by email, individually or by importing a spreadsheet. Each person gets a portal where they can submit requests, track status, read announcements, browse resident-visible documents, and suggest vendors.
How is each association's data kept separate?
Each community's records are isolated from every other community using database row-level security, and roles control what admins, board members, and residents can see. See the security overview for details on hosting and encryption.
