Governance gets hard when the records are scattered

Board packets by email

Agendas and reports go out as attachments, and the version discussed at the meeting is never the one anyone can find later.

Resolutions without a record

Decisions get made between meetings by email and never make it into the minutes or a central log.

Minutes in one person's drive

The secretary keeps the minutes. When the secretary rotates off, so do the minutes.

Action items forgotten

Follow-ups agreed at a meeting are never assigned an owner or due date, and resurface three meetings later.

Onboarding new directors

Every new director asks for the bylaws, the conflict-of-interest policy, and last year's minutes — one email at a time.

Members out of the loop

Members and volunteers don't hear about decisions and updates unless someone remembers to send them.

  • ✓Assign tasks with owners, priorities, and due dates
  • ✓Link tasks and approvals back to the meeting they came from

Members and communication

  • ✓Invite members to a member portal
  • ✓Post announcements to the board or all members, and email them to members

FAQ

Nonprofit board portal FAQ

What is a nonprofit board portal?
A secure, shared workspace where directors find governing documents, meeting materials, minutes, and decisions — instead of digging through email attachments. It gives the board one source of truth that survives officer turnover.
Does CommunityVault manage donations or fundraising?
No. CommunityVault does not process donations, payments, or accounting, and it is not a donor CRM. It focuses on governance: documents, board decisions, meetings, tasks, and communication with members.
Is it set up for nonprofit terminology?
Yes. When you choose the nonprofit organization type, the workspace uses labels like Board of Directors and Board Resolutions instead of HOA terms.
Can we run board elections in CommunityVault?
You can publish candidate profiles — bio, statement, experience, and priorities — so members can learn about nominees, and export a candidate packet. CommunityVault does not conduct official elections or ballot submission.
How much does it cost for a small nonprofit?
Plans start at $19 per month with a 14-day free trial and no credit card required. If budget is a concern for your nonprofit, contact us — we're a small team and happy to talk.
