What makes church governance hard to keep track of

Records follow the volunteer

The council secretary keeps the minutes at home. When terms rotate, the records go with them.

Decisions made in passing

A facility decision is agreed after a service or by text, and never recorded anywhere official.

Policies hard to find

The constitution, building-use policy, and safety policies exist — somewhere — in several versions.

Facility requests by phone

Ministry leaders and members ask to use rooms by calling whoever they know, and double bookings happen.

Follow-ups forgotten

Action items from leadership meetings aren't assigned, so the same topics return month after month.

Congregation out of the loop

Members hear about decisions late, or only through word of mouth.

FAQ

Church board management FAQ

Is CommunityVault a church management system (ChMS)?
No. CommunityVault is focused on church governance — the work of your council, elders, deacons, or committees. It does not handle giving, donations, payments, accounting, or child check-in, so it works alongside the tools your church already uses for those.
Does it use church-friendly terminology?
Yes. When you choose the church organization type, the workspace uses labels such as Congregation, Leadership, Leadership Approvals, and Ministry Requests instead of HOA terms.
Who should be invited?
Invite your leadership team as board members so they can see board-only documents and vote on approvals. You can also invite congregation members to a member portal, where they see only what leadership chooses to share.
Can members request use of the building?
Yes. Members can submit requests — such as event or facility requests — from their portal. Leadership reviews them in one queue, can ask for more information, approve or decline, and the member sees the status.
Can we keep confidential matters private?
Each document can be set to member-visible, board only, or private (admin). The AI assistant only answers from documents the person asking is allowed to see. For pastoral or legally sensitive matters, follow your church's own confidentiality policies about what to store anywhere.
