1. About This Policy
This Privacy Policy explains how Wealth Building Academy LLC (“Company,” “we,” “us,” or “our”) collects, uses, stores, discloses, and protects information in connection with CommunityVault.ai (the “Service”), a software-as-a-service platform for homeowners associations (HOAs), condominium associations, community associations, nonprofit organizations, trustees, board members, property managers, and residents.
By accessing or using the Service, you acknowledge that you have read and understood this Privacy Policy. If you do not agree, do not use the Service. CommunityVault.ai is a software provider only; we are not a law firm, accounting firm, property manager, insurer, engineering firm, or compliance authority.
2. Information We Collect
We collect the following categories of information:
a. Account & Organization Information
Names, email addresses, phone numbers, organization/community name and type, role (administrator, board member, resident, viewer), authentication credentials, and billing details (processed by our third-party payment processor; we do not store full card numbers).
b. Uploaded Documents & HOA Records
Documents and records that you or your organization upload, including bylaws, CC&Rs, rules and regulations, meeting minutes, financial reports, budgets, contracts, insurance documents, legal notices, architectural requests, violations, maintenance records, resident communications, and historical records. These materials, together with text extracted from them, are stored and processed to provide the Service.
c. Resident & Member Data
Information about residents and members that your organization chooses to enter or upload, such as names, unit/lot identifiers, contact details, request history, and correspondence. Your organization is the controller of this data and is solely responsible for the lawfulness of providing it to us.
d. Board Member & Administrator Data
Roles, permissions, activity history, approvals, votes, assigned tasks, and other governance-related records associated with board members and administrators.
e. Email & Communications
Messages, notices, support inquiries, and other communications you send to us at support@communityvault.ai or through the Service, and records of communications sent through the Service.
f. Metadata & Usage Data
Technical and usage metadata such as IP address, device and browser type, timestamps, pages viewed, feature usage, document upload and access logs, search queries, file types and sizes, and audit-trail entries (uploads, approvals, searches, and document access).
g. Cookies & Analytics
Information collected through cookies and similar technologies as described in our Cookie Policy and in Section 7 below.
3. How We Use Information
We use information to: (a) provide, operate, maintain, and secure the Service; (b) extract, index, categorize, summarize, and enable search of uploaded documents; (c) authenticate users and enforce role-based access; (d) process payments and manage subscriptions; (e) respond to support requests; (f) monitor, audit, and improve the Service; (g) detect, prevent, and respond to fraud, abuse, and security incidents; and (h) comply with legal obligations and enforce our agreements.
We do not sell your personal information.
4. AI Processing of Your Data
The Service uses artificial intelligence and machine-learning technologies, including third-party AI providers, to perform optical character recognition (OCR), text extraction, categorization, summarization, embedding generation, and conversational document search.
When you use AI features, relevant document text and your queries may be transmitted to and processed by our AI service providers solely to generate responses for your organization. AI-generated output may be inaccurate or incomplete and is provided for informational purposes only; see our Disclaimer & AI Usage Disclaimer. We instruct our AI providers not to use your content to train their general models except as permitted by your agreement with us and their applicable terms.
6. Third-Party Integrations & Processors
We rely on reputable third-party providers, which may include cloud hosting and database/storage providers, AI and embedding providers, payment processors, and email and analytics services. These providers process information under their own terms and security practices. We are not responsible for the independent acts or omissions of third-party providers beyond our contractual arrangements with them. If you connect third-party integrations to the Service, your use of those integrations is governed by the third party’s terms and privacy policy.
8. Access Controls & Visibility
The Service supports document visibility levels such as board-only, resident-visible, and private/admin-only. Visibility, permissions, and access are configured and controlled by your organization’s administrators and authorized users. You and your organization are responsible for correctly classifying documents and assigning permissions. We are not responsible for misconfiguration of visibility settings, the over- or under-sharing of documents resulting from your configuration, or the actions of your organization’s users.
9. Data Retention & Deletion
a. Retention
We retain information for as long as your account is active and as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. Backup copies may persist for a limited period after deletion.
b. Account Termination
Upon termination of your account, we will, within a commercially reasonable period, delete or de-identify personal information associated with the account, except where retention is required by law or for legitimate business purposes (such as records of transactions).
c. Deletion Requests
You may request deletion of your data by emailing support@communityvault.ai. Organization administrators may request deletion of organization data; residents and individuals should direct requests to their organization administrator or to us, and we may route individual requests to the relevant organization where it acts as the data controller.
d. Trial Accounts
Data associated with trial or evaluation accounts may be deleted upon trial expiration or upon request. Trial customers may request deletion of all uploaded data at any time by contacting support@communityvault.ai or using available in-product controls.
10. Security
We implement administrative, technical, and organizational measures designed to protect information, including encryption in transit, access controls, per-organization data isolation, and activity logging. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security. See our Security Policy for more detail.
11. Your Privacy Rights
Depending on your jurisdiction (including under the California Consumer Privacy Act/CPRA and similar U.S. state laws), you may have rights to access, correct, delete, or port your personal information, and to opt out of certain processing. To exercise these rights, contact support@communityvault.ai. We will verify your request and respond as required by applicable law. We will not discriminate against you for exercising your rights. Where your organization is the controller of the data, we may direct your request to that organization.
12. Children's Privacy
The Service is intended for use by adults in connection with community governance. It is not directed to children under 13 (or under 16 where applicable), and we do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact support@communityvault.ai.
13. U.S. Processing & International Users
The Service is operated from the United States and intended for U.S.-based organizations. If you access the Service from outside the United States, you understand that your information will be processed in the United States, where data-protection laws may differ from those in your location.
14. Changes to This Policy
We may update this Privacy Policy from time to time. Changes are effective when posted, with the “Effective date” updated above. Material changes may be communicated through the Service or by email. Your continued use of the Service after changes take effect constitutes acceptance.
